If you need to reschedule your studio session, the short version is: contact us as early as you can, and in most cases we’ll simply shift you to a new date with no drama attached. Rescheduling is normal, and the studios are used to it.

The short answer: notice is the only thing that really matters

Whether it’s a photography session, a podcast recording or a content shoot, the studios run on a fixed daily schedule. A date moved with a week’s notice is easy; a date moved with two hours’ notice is a genuine scheduling problem for the next booking, not just yours.

The rule of thumb: the moment you know you need to move, message us. Don’t wait until you’re certain of the new date — flagging the need to move is more useful than the exact replacement slot.

Why last-minute changes are harder than they look

A studio day is usually booked back to back, so a late cancellation doesn’t just lose your slot — it often means the time can’t be reallocated to anyone else either. That’s the practical reason a short-notice change is treated differently from one flagged days or weeks out.

It also affects crew and prep. Some sessions involve lighting setups, backdrop changes or equipment specific to what’s being shot that day. The more notice we have, the more of that we can adjust or hold over cleanly for your new date.

What counts as good notice

  • A week or more gives us the most flexibility and the widest choice of replacement dates.
  • 48 to 72 hours is usually workable, though your first choice of date may not be available.
  • Under 24 hours limits us to whatever’s genuinely open, and may fall under our short-notice terms.
  • On the day is treated as a no-show under our standard booking terms, so always call rather than simply not turning up.

A rescheduled booking is a normal Tuesday for us. A no-show is the only outcome that actually creates a problem.

What to do if your preferred new date is also booked

Widen the search first. Weekday slots free up far more often than weekends, and a shift of a few days rarely matters for most projects. If nothing suitable is open in the next two weeks, ask to be added to our cancellation list — other bookings shift too, and something often opens up sooner than the standard calendar suggests.

Common mistakes to avoid

  • Waiting to message us until you’re sure of your new date. Flag the need to move as soon as you know, even before you’ve settled on a replacement.
  • Assuming a reschedule request will be refused. Most reschedules are simple — refusal is the exception, not the rule.
  • Not showing up instead of calling ahead. A no-call no-show is treated far more strictly than a late reschedule request.
  • Rescheduling repeatedly without checking your booking terms. Ask us directly if you’re unsure how many free reschedules your booking allows.

Practical checklist

  • Message or call as soon as you know a change is needed.
  • Have two or three alternative dates in mind before you call.
  • Ask specifically about weekday availability if your original slot was a weekend.
  • Confirm whether any studio-specific setup needs adjusting for your new date.
  • Get your new date confirmed in writing before treating it as locked in.

Nottingham-specific notes

Weekend slots across our Hucknall studios (photography, podcast and content) are the first to fill, so if you’re rescheduling out of a weekend booking, be ready for your replacement date to land on a weekday. If you’re travelling in from further across Nottinghamshire, we can usually flex timing within the day to help make a weekday slot work around your journey.

How AOU Studio approaches this

We’d rather have an early heads-up and a slightly awkward new date than a late cancellation and an empty studio slot nobody could use. Call or message us as soon as something comes up — we’ve genuinely heard every version of “life got in the way” and none of it changes how we handle it.

Frequently asked questions

Is there a fee to reschedule my session?

Not usually, provided you give reasonable notice. Short-notice changes may be handled differently under our standard booking terms.

How many times can I reschedule the same booking?

This depends on your specific booking terms. Ask us directly if you’re unsure.

What happens if I just don’t show up?

That’s treated as a no-show rather than a reschedule, which is handled more strictly. Always call ahead if something’s come up.

Can I reschedule to a completely different type of session?

Sometimes, depending on studio availability and what’s involved in your original booking. Get in touch and we’ll talk through the options.
